January 26, 2022 | Rukshana Jalil Under the direction of the Assistant Program Officer and the Executive Officer, the College Assistant will assist with daily operations of the office. Duties will include, but are not limited to: Scheduling meetings and exams for the Executive Officer and keeping the Executive Officer’s calendar; Designing and distributing flyers and other media announcing program activities and events; Zoom and remote learning coordination; Managing program social media; Submitting program event information for GC calendar and dept website updates; Data entry and other assistance for program admissions; Answering and routing telephone, in-person, email, or written inquiries; Updating and posting faculty contact information in GC directory; Creating and maintaining directories and/or listservs, for students, faculty, alumni; Updating various entries for program webpage, AAA Guide, NSF survey; Maintaining and ordering supplies; Filing documents in student, faculty and other folders as necessary; Maintaining hub including the delivering of mail to faculty and student mailboxes, posting & removing notices from bulletin boards and tables, and updating mailboxes; Ensuring availability of Program/School related print materials (such as handbooks, add/drop forms, address/grade forms, bulletins, etc); Processing forms and receipts for faculty, student and guest speaker reimbursement (for out of pocket expenses, honoraria, etc.); Handling AV, catering, and facilities requests; Purchasing and setting up for receptions; Assisting the Assistant Program Officer and Executive Officer; Other duties as assigned. Minimum Qualifications: High School Diploma Preferred Qualifications: One year of office/administrative experience preferred; work experience in an academic or non-profit environment preferred. Familiarity with CUNY and GC administrative procedures a plus Ability to exercise discretion in handling sensitive and/or confidential matters on behalf of the Program Must be able to work 20 hrs/week with consistency in scheduling and availability for program events (Friday colloquia) Familiarity with Zoom, Eventbrite preferred Self-starter with flexibility to perform a variety of tasks Excellent communication and interpersonal skills Proficient in the use of Microsoft Office, particularly Word, Excel and Outlook; proficiency in Adobe Acrobat Pro and PowerPoint; experience in maintaining websites a plus; familiarity with CUNY systems (especially CUNYFirst) a plus Salary: $18.36 per hour Related This entry is licensed under a Creative Commons Attribution-NonCommercial-ShareAlike 4.0 International license.
